Position Title: HR Coordinator

Location: St. Charles, MO

Position Summary: We are seeking a Human Resources Clerk / Executive Assistant to support the day-to-day activities of our Human Resources department and provide support to the President/Co-Owner and Leadership Team.


Primary Responsibilities:

HRIS/Benefits/Onboarding:

  • Process newly hired employees into payroll system (Integrated Payroll Services).
  • Record changes on all employee statuses (i.e., change of address, direct deposit entries, departmental transfers, rate increases, etc.).
  • Compile data from personnel records and prepare reports.
  • Assist with annual benefit/payroll related audits.
  • Maintain training records including Missouri Customized Training, external seminars, and internal training.
  • ISO Requirements: Assist in the documentation of departmental processes, standardized forms, and company Skill Matrix.
  • Verify employment eligibility using E-Verify.

Recruitment:

  • Maintain ATS, screen résumés, track applications, and schedule interviews.
  • Coordinate pre-employment physical/drug screens and appropriate background check for all pre-hires.
  • Assist with new hire orientation / onboarding and paperwork.

Safety / Risk Management:

  • Assist Safety Coordinator with record keeping.
  • Provide weekly hours for safety stats.
  • Maintain a list of employees with CDL, Class E, and Chauffer licenses. Ensure appropriate annual certification and physical requirements are met.

Executive Assistant:

  • Proactive scheduling and communicating to ensure that leaders and their teams are prepared for key meetings and deliverables.
  • Participate and lead projects to further effectiveness of the team such as service management, recognition program or skip level meeting facilitation.
  • Accurately manage multiple calendars, including scheduling across multiple functions.
  • Coordinate and book domestic travel to fit needs of travelers.
  • Demonstrated project management experience and organizational skills.
  • Accurately process expense reports in a timely manner.
  • Independently prepare and edit high-quality correspondence, communications, presentations, and other documents.
  • Lead or assist special projects such as annual team meetings planning and execution.
  • Schedule and coordinate internal and external meetings in collaboration with other leaders.
  • Coordinate regular team events and activities to aid in building team camaraderie and morale.
  • Recognize the need for forms to be revised, filing systems updated, basic procedures streamlined, and assist with improvements.
  • Manage and update as necessary all local postings required by law and/or company policy.
  • Other duties as assigned.

Required Skills:

  • Bachelor's Degree and/or equivalent related experience.
  • Must be approachable with strong interpersonal, verbal and written communication skills.
  • Experience with Microsoft Office Product Suite, including Word, PowerPoint, Excel, Outlook, OneDrive, SharePoint, and Teams.
  • Must have the ability to maintain confidential information.
  • Ability to prioritize tasks and delegate them when appropriate.
  • Excellent time management skills with a proven ability to meet deadlines.
  • High integrity and ability to handle confidential information with high degree of discretion and sensitivity.
  • Proficiency with or the ability to quickly learn the Company's HRIS/Payroll system Integrated Payroll Services (IPS).
  • Ability to work effectively with minimal supervision.

Desirable Skills/Education:

  • 2 – 4 years of experience in a fast-paced manufacturing or industrial environment.
  • Experience supporting multiple leaders, managing calendars, coordinating internal & external meetings, working with external vendors, booking domestic travel, and general administrative functions; phone screening, managing catering vendors, assisting meeting guests, creating/executing purchase requisitions for the executives.
  • Experience working with diverse customer groups and job functions.
  • Strong computer literacy and experience using IPS or similar HRIS.

Physical Requirements:

  • Required to sit prolonged periods of time at a desk and working on a computer.
